Executive Assistant
The Executive Assistant to the President is responsible for providing comprehensive support to the President and manages the executive office operations. The Executive Assistant reports directly to the President and provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all Office of the President matters.
This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with high professionalism and confidentiality. The Executive Assistant must be able to work independently on tasks and projects, from conception to completion, and thrive in a multi-faceted role that requires handling various activities and confidential matters with discretion.
You should have:
Bachelor’s degree preferred or equivalent experience of 3+ years of executive administrative experience and project management, preferably in a banking environment or a related field. 
Knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint. 
Working knowledge of essential office equipment, including the copier, fax machine, and computer. 
Excellent verbal and written communication skills.
Able to interact with people of all levels confidently and professionally.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Ability to organize and coordinate multiple concurrent projects.
Ability to function well in a high-paced environment.
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Type with speed and accuracy at a rate sufficient to perform duties satisfactorily. 
Extremely proficient with Microsoft Office Suite or similar software and able to learn new or updated software.
Flexible team player, willing to adapt to changes and unafraid of challenges.
Able to maintain high integrity and discretion in handling confidential information.
Your responsibilities as the Executive Assistant will include:
Maintain appointment schedules and meeting calendars; arrange and coordinate travel schedules and reservations; arrange meetings; assist in agenda preparation; gather information and contact participants.
Greets scheduled visitors, answers and screens telephone calls and emails, and determines which interactions should be handled by the President or referred to another staff member or department.
Arranges and schedule conference calls.  
Arrange and set up “Meetings at a Glance” for monthly meetings and meetings requested by the President or Management. 
Maintain the schedule for the President’s assigned meeting rooms. 
Assist out-of-town visitors with overnight accommodations and travel plans.
Prepare outgoing mail and correspondence, including e-mail, faxes, and scanned documents.
Maintain correspondence files, organization, and retrieval systems. 
Orders and maintains supplies and arranges for equipment maintenance as needed.
Arrange and coordinate catering for meetings and social events as directed by the President.
Initiate, manage total responsibilities, and execute activities for assigned projects. 
Assist other bank executives and bank employees as needed.  
Attend bank-related and bank-sponsored events.
Represent the President and the Executive Office while in the office and at outside work events professionally to include communication with internal and external individuals.
Maintain the President’s office area to ensure the site is always neat and orderly.
Develops and completes projects from a rough overview/outline with minimal supervision.
Secondary service for the Bank’s institutional accounts: providing account information, follow-ups to requests, and maintaining regular contacts for luncheons, special events, holidays, and social occasions. This position is critical in maintaining close personal contact with these important relationships.
Reports and report design: in addition to the normal administrative responsibilities of routing and re-routing messages, processing and initiating correspondence, and handling client requests, this position will also design and manage data tracking reports used by the President to track various processes, projects, and personnel.    
Assist with the coordinated Marketing efforts: Examples of projects and duties include managing the Kadince donations.
Maintain discretion and confidentiality in relationships and activities from the bank’s Executive Offices and related entities.
Any other duties as assigned.
