Executive Assistant (Remote in TX)

As the Executive Assistant, you will provide administrative support to the Executive Director and Directors to ensure their time is used efficiently in pursuing organizational goals and growth.

 

To thrive/succeed, you should have:        

  • 5-7 years prior experience in a similar role
  • Ability to organize and manage large amounts of files, tasks, schedules, and information. 
  • Excellent proofreading abilities and acute attention to detail
  • Ability to multi-task and shift priorities with relative ease 
  • Experience scheduling with Google Suite
  • Minimum typing speed of 40 wpm 
  • Minimum 10-key speed of 175 kspm 
  • Basecamp skills
  • Microsoft Office skills (particularly Word, Outlook, and Excel)
  • Non-profit experience preferred

 

Your responsibilities as the Executive Assistant will include:        

  • Managing effective executive function with optimal coordination and communication with the Executive Director
  • Managing an extremely active calendar of appointments
  • Composing and preparing correspondence that is sometimes confidential.
  • Being the center of communications for the Executive Director, both internally and externally
  • Managing and coordinating Executive Director’s schedule
  • Arranging complex and detailed travel plans, itineraries, and agendas
  • Seeking, drafting, and/or preparing Executive Director communications and calls for presentations.
  • Keeping the Executive Director optimally organized and effective in their internal and external activities
  • Scheduling and accompanying the Executive Director on meetings, taking notes, and ensuring effective and timely follow-through on contacts made.
  • Attending internal and external meetings on behalf of Executive Director
  • Performing other administrative tasks designed to maximize the efficiency and productivity of the Executive Director as necessary.
