Fundraising & Office Associate
 
As the Fundraising & Office Associate, you will assist with various development functions and be responsible for ensuring the smooth running of the office. Your fundraising tasks will include managing the donor database, processing donor acknowledgements, reporting fundraising financials, working with 3rd party vendor fundraising tools and building awareness of the organization through communications, including social media, email marketing, and newsletters. 

To be successful, you should have:

  • Some college coursework required, a college degree preferred
  • Experience with CRM systems preferred, experience with Donor Perfect or other donor management system a plus
  • Experience with professional use of social media platforms (Facebook, Instagram & Linked In) preferred

Your responsibilities as the Fundraising & Office Associate will include:
Manage the organization’s CRM (Donor Perfect) for integrity and accuracy of donor records

  • Enter all gifts into Donor Perfect, recording pertinent donor information and merge/purge of duplicate records; Importing all online credit card transactions
  • Manage matching gifts, workplace giving, donation distribution sites and submission of key documentation
  • General housekeeping of Donor Perfect records, run and dedupe mailing lists and email lists
  • Coordinate donor acknowledgments including thank you letter process and record keeping
  • Develop Donor Perfect fundraising summaries and Constant Contact list imports
  • Assist with monthly financial reconciliation reports between all donation processors

Communications across social media, email marketing and fundraising campaigns

  • Manage social media content calendar with consistent publishing of quality content on 3 platforms
  • Help determine strategies to increase online giving, implementing email marketing initiatives to increase fundraising through individual and corporate gifts; Manage various solicitation mailings
  • Create event fundraising pages and online forms using digital tools, and fundraising campaigns
  • Develop messaging and content for printed and digital newsletters, assist with Gala event journal
  • Create digital promotions for events to drive awareness and community engagement

Collaborate with Director of Development & Events for event support on three key fundraising events

  • Help to reach event fundraising financial goals by providing support pre-event, on-site as well as post event
  • Organize and manage event invitation lists from Donor Management system
  • Solicit for in-kind raffle & auction donations and track all items secured by committee
  • Work with committees, attending meetings, maintaining minutes, reporting back on next action steps
  • Assist with tracking of revenue and timely reporting of event financials
  • Receive, process, and report on all event responses
  • Actively communicate with event committee members and co-chairs to ensure engagement
  • Assist the Young Professionals Board with developing smaller fundraising events

Office Responsibilities (include but not limited to):

  • Answer phones and front door/ greet clients & all guests
  • Coordinate contracts with outside vendors for office materials and services
  • Provide support to employees and ensure smooth operations within the office
  • Provide primary office coverage, coordinating with other staff for sufficient office coverage at all times
  • Cultivate volunteers and community participation, coordinating volunteers & supply drives
  • Assist with accepting and sorting of in-kind donations and organization of on-site food pantry
  • Help to coordinate on-site volunteers and special projects
