Position Summary:
The person in this position will join a team of committed, resilient, professional nonprofit staff who are driven by the agency mission to keep children and their families safe in the Greater Houston area. This position will report remotely to the Executive Director and collaborates closely with the team and Board of Directors to support the administrative needs and operations of the organization.

Essential Duties:
Website and Database

  • Works in agencies Neon CRM fundraising software to create thorough and accurate accounts/events, enter gifts, pull reports, and prepare mass emails
  • Performs basic website maintenance including editing and creating event postings


  • Provide support by scheduling and preparing for meetings/events and other related tasks
  • Coordinates board activities including scheduling, correspondence, taking minutes, creating packets, and tracking RSVPs and attendance and other related tasks
  • Supports Executive Director by documenting transactions in QuickBooks and Neon CRM and create reports as needed
  • Accompany or represent the Executive Director in meetings with clients
  • Assist in special and fundraising events
  • Provides accurate reports to the Executive Director
  • Prepare/reviews/submits grant attachments and a final copy of the grant proposals via the portal or mail system
  • Generates internal and external correspondence
  • Ensure all documents are filed electronically or otherwise
  • Run errands for ChildBuilders


  • Manages accounts payable/receivable and enters in QuickBooks/Neon
  • Ensures that accounts are reconciled, bank deposits prepared, and general bookkeeping services are completed in concert with out-sourced accounting company
  • Prepares the financials, including IRS related documents, in collaboration with the Executive Director for the CPA
  • Maintains contact with vendors to ensure that bills are paid
  • Prepares various reports via QuickBooks and other systems

Social Media

  • Manages social media pages/marketing
  • Keeps track of special occasions and awareness days
  • Promotes ChildBuilders on social media/website

Other Duties May Include:
Works closely with the Executive Director and other team members on special projects as assigned.

Work Schedule:
Remote work, including occasional in-person meeting for events/meetings.

Skills and Experience:

  • Effective communication skills
  • Practice critical thinking and make choices to complete deadlines
  • Accurate and strong writing ability, able to draft and edit written communication appropriate for a professional environment
  • Willingness to learn new skills and to cross-train with other team members
  • Ability to prioritize work, be detail-oriented, while managing multiple tasks to meet deadlines with accuracy
  • Function as an integral part of a team with minimal supervision
  • Possess emotional intelligence and positive energy
  • Effective problem solving
  • Experience with QuickBooks and Neon CRM a plus
  • Must be proficient computer and technology skills to include, Word, Excel, PowerPoint, and Outlook, etc.

Preferred Qualifications:

  • 0-2 years executive/admin experience
  • Experience with QuickBooks.
  • Bachelor’s Degree
Compensation: $40,000 a year
