Front Office Administrative Assistant

Our client practices exclusively in employee benefits law, including pension, 401(k), profit sharing, and other qualified plans, as well as nonqualified deferred compensation plans, executive compensation programs, and 403(b) and 457 plans for nonprofit and governmental organizations.

Our client are ERISA lawyers who act as ongoing benefits counsel or are retained to provide legal services in relation to a specific employee benefits concern. For example, they can resolve benefits issues in a merger or acquisition, represent a client in an IRS audit or DOL investigation, or help a client fix compliance or operational errors in your plan.

Our client emphasizes practical and understandable business solutions to all employee benefits issues.

As the Front Office Administrative Assistant, you will aid clients, vendors, and co-workers in resolution of needs. This ranges from directing incoming calls and welcoming visitors, to assisting the Office Manager and support staff with data entry, filing, and other types of administrative tasks. You will be expected to play a great role in caring for small details leading to positive outcomes. You must be be an experienced and reliable professional with a passion for the job who contributes to the company’s growth and brand awareness. A pleasant and easy-going demeanor, while also being perceptive and disciplined, is essential.

You should have:

·         Previous experience in administration preferred

·         Bachelor’s degree in Business Administration or related field preferred

·         ALA, ASPPA, SHRM, NIPA or PECA membership is favorable

·         Customer-oriented, confident, and results driven performer

·         Ability to prioritize and manage multiple tasks with strong organizational skills

·         Excellent communication skills, both verbal and written

·         Strong analytical and problem-solving skills with keen attention to detail

·         Proficient with Microsoft Office and related software

Your responsibilities as the Administrative Assistant will be:

·         Oversee reception of clients via phone and office

·         Relay information to intended recipient (internal and external)

·         Perform incoming and outgoing mail duties with USPS, FedEx and UPS

·         Deposit incoming funds in bank and update tracking software

·         Tidy kitchen, unload dishwasher, and restock supplies

·         Resolve IT issues by determining self-correction or escalation to IT company

·         Assist on projects with creativity, data entry or other assigned tasks

·         Follow firm policies and procedures to ensure consistency and efficiency

·         Complete client intake setup in software programs

·         Draft letters and send with attorney’s approval

·         Enter time into software program for attorneys

·         Aid in event planning

·         Run reports and submit faxes and work orders

·         Back up other support staff as requested

Compensation & Benefits:

Compensation: $38,000-$42,000 per year, depending on experience
