What You’ll Do:
As our highly visible General Office Assistant, Administration & Accounting, you’ll be our first impression, the voice of our organization to those calling and the face of the company to those visiting us. This job is about more than answering phones and being friendly. Your initiative and organizational skills will keep us running at top performance, while your enthusiasm and ideas will shape the environment in which we all work.

The responsibilities of our General Office Assistant, Administration & Accounting will include general office work, kitchen maintenance, shipping responsibilities, admin support, and accounting support.

To Be Successful, You Should Have:

  • Minimum High School diploma or General Education Degree (GED) required. College experience or degree preferred.
  • 2-3 years of work experience in a general business environment, including a background of phone/reception, clerical, administrative duties, and experience in researching products services and companies directly through the internet.
  • Interest in automotive is nice to have.
  • Experience in NetSuite (ERP system) preferred.
  • Proficient computer skills, particularly Microsoft Office Applications, including Word, Excel, Outlook, and PowerPoint.
  • Internet-savvy to perform research as needed.
  • Prior experience with office equipment such as computers, copiers, and phone lines.

Your Duties as the Office Assistant, Administration & Accounting Will Include:

General Office/Administrative Support

  • Ensure office runs smoothly – Order, stock, and maintain office and kitchen supplies, submit building maintenance requests, organize, and maintain office storage room.
  • Administer clerical tasks – Answer phones, maintain, and troubleshoot desktop phones, and copy machine, open, and distribute mail and refill copy machine paper.
  • Shipping support – Complete all shipping daily (UPS, Fed-Ex, etc.) and drop packages off.
  • Misc. admin/general office duties as assigned – Welcome visitors, coordinate hotel, air and restaurant reservations as needed. Research employee engagement ideas, research milestone birthday and anniversary gifts for employees, plan office luncheons, assist in planning holiday event, annual sales meeting event, and annual trade show event. Assist in preparing PowerPoint presentations. Set up video and voice conference calls as needed, maintain conference room computers.
  • Data Entry in the ERP system.

Accounting Support

  • Format, and prepare sales reports for month-end closing.
  • Review, categorize and approve all monthly expense reports.
  • Create, generate, and distribute the Sales Exception Report in the ERP system to capture missing sales.
  • Proofread new and revised project information sheets.
  • Enter new part information & update part pricing into the ERP system.
  • Enter invoices into the accounting system.
  • Enter AP bills into the accounting system.
