Project Specialist, Corporate Talent Acquisition

This position is responsible for providing operations, administrative and project support to the Corporate Talent Acquisition department.

  • Maintains appointment schedules, meeting calendars; travel arrangements, expense reports, arranges meetings, gathers information and contacts meeting participants.
  • Assists in the creation of agendas, PowerPoint presentations, reports, MS Excel and other documents for distribution.
  • Schedules and facilitates Corporate Talent Acquisition meetings including room set-up, agenda preparation, documentation and follow-up activities.
  • Develops and maintains document filing systems within MS Teams and SharePoint, and ensures documents are current, coordinates with document owners as needed and removes outdated content according to established policy and procedures.
  • Provides support to the Talent Acquisition (TA) Operations team requiring thorough knowledge of organization policies and procedures.
  • Assists with Internal Career Fairs, Interview Days, TA Vendor Meetings and Recruitment Marketing Projects.
  • Processes legal contracts with vendors and potential partners and uploads to the legal document tracking platform.
  • Participates in and provides day-to-day guidance to project teams and other internal stakeholders to ensure TA projects are delivered in a timely manner and in alignment with the identified project scope.
  • Manages assigned projects to include the implementation of project requirements, timelines and related success factors in collaboration with internal stakeholders.
  • Provides guidance to project teams regarding structure of project plans and for maintaining the integrity of project management data records including structure, storage and retrieval.
  • Maintains accountability for timely and efficient project delivery and tracking for all projects through the use of project-tracking tools as required.

Education/Experience Requirements

  • Bachelor’s Degree in a related field or equivalent work experience is required.
  • Five or more years of administrative and project management experience is preferred.


  • Demonstrated advanced level proficiency in Microsoft Office suite programs including Word, Excel, PowerPoint, Teams and ability to learn other applications as needed.
  • Strong project management skills with the ability to multi-task, prioritize and manage multiple projects with competing priorities.
  • Strong customer service attitude and excellent team work and interpersonal skills that help move projects along on time and on budget.
  • Work well in group problem-solving situations and demonstrate the ability to collaborate to solve dynamic problems.
  • Goal oriented, action-focused, pragmatic, and self-disciplined.
  • Strong and effective written and verbal communication skills.
  • Strong attention to detail, sense of organization, logic and analytical skills.
  • Excellent time management with the ability to prioritize and multi-task.
