Senior Field Operations Administrator

We are currently seeking a Senior Field Operations Administrator to join our team.


This position is responsible for performing a variety of responsible and confidential secretarial duties requiring a thorough knowledge of organizational procedures and precedents for the VP Field Operations; screens telephone calls, visitors and incoming correspondence; handles inquiries independently. Schedules department meetings and types minutes as well as for update meetings between VP, General Managers and Directors/Managers. Independently responds to letters and general correspondence; responds to complaints and requests for information and provides suggestions to remedy complaints. Prepares departmental reports and expense projections for distribution. Handles a variety of sensitive situations and problem solves on own initiative. Independently responds to duplication letters and general correspondence. Decision making is moderate, focused on daily operations and governed by policy and procedure.

Essential Functions

Under minimal supervision and moderate decision-making:

  • Acts as a liaison between VP, Management Team and General Managers, including client owners; problem solves according to direction of VP and takes action in his absence when applicable.
  • Proactively seek opportunities to support the VP Field Operations in creating national executive visibility and coordination of VP’s key operational objectives.
  • Screens and controls VP’s correspondence, phone calls, visitors; handles inquiries independently. Determines which situations require the attention of the VP or other staff members; refers unrelated inquiries to appropriate Insperity departments.
  • Maintains appointment schedule and calendar for VP; makes timely and cost effective travel arrangements; coordinates details of department meetings; gathers information and assists in agenda preparation and contacts meeting participants; types minutes of meetings when requested.
  • Handles a variety of sensitive situations and problem solves on own initiative, advising VP of action taken.
  • Provides administrative support to the VP and designated staff members, requiring thorough knowledge of Microsoft Outlook, Word, PowerPoint, Excel and Project. 
  • Independently responds to duplication letters and general correspondence; responds to complaints and requests for information and provides suggestions to remedy complaints.  Advises VP of action taken and keeps VP informed of issues and requests for information. 
  • Coordinates routine personnel updates/maintenance, budgetary reporting, gathering timesheets, expense account documentation, and credit/purchasing/acquisition duties, including securing signatures in a timely manner. 
  • Assembles data for special projects and prepares routine reports, including some statistical work.  Conducts a high level review to ensure accuracy of formulas and consistency of report to prior reports.
  • Sets up and maintains filing system; updating and purging as necessary.
  • Utilizes the assistance of the Service Region Administrators on a project basis.
  • Conducts regular meetings with Service Region Administrators to share information, review policy and process changes, meet with other departments, and to provide for their ongoing professional development.
  • Acts as backup to Service Region Administrator.


  • Principles, practices and procedures of office administration, office methods, and equipment; clerical methods, techniques and filing procedures. 
  • Performing highly confidential and responsible secretarial and clerical duties requiring independent judgment with speed and accuracy; learning, interpreting, and applying organizational policies, rules and regulations; taking responsibility for the compilation and organization of reports; composing correspondence on own initiative.
  • Correct business English, grammar, spelling, vocabulary, and arithmetic at a level necessary for satisfactory job performance; operation of standard office equipment including advanced computer skills, including Microsoft Office Suite (Word, Excel, Outlook and PowerPoint); typing accurately from clear copy at 60 words per minute.
  • Interpersonal management skills to meet the public tactfully and courteously in answering questions in person and over the telephone; communicating clearly and concisely, orally and in writing; and maintaining effective work relations with those encountered in the course of employment.



Education/Experience Requirements

  • High School Diploma or equivalent is required. Associate’s Degree in related field is preferred.      
  • Five or more years of experience in related administrative positions is required. Three plus years of Field Operations Administrator experience is preferred. Secretarial training in an accredited program is preferred.
