As the Administrative Services Manager, you will be a dynamic leader overseeing the Foundation’s administrative support, facilities, meeting space management, and event planning functions. It is pivotal that you ensure the smooth operation of these areas while providing leadership to ensure the administrative team can anticipate and meet the organization’s needs, oversee budgets, and foster a collaborative work environment. As an ideal candidate, you must possess exceptional leadership skills, attention to detail, and the ability to multitask effectively. 

 

To succeed, you should have:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 3 years of experience in hospitality, event planning, customer service, or a similar administrative role, showcasing expertise in managing and coordinating collaborative work across teams and events, delivering exceptional customer service, and ensuring smooth operations.
  • Proven experience in a managerial role with the ability to lead and motivate a diverse team effectively.
  • Ability to communicate clearly and effectively with individuals at all levels of the organization, as well as external vendors and stakeholders.
  • Capacity to anticipate needs, adapt to changing priorities, and address multiple demands efficiently.

 

Your essential duties and responsibilities as the Administrative Services Manager will include:

  • Supervision and Leadership: Lead a team of administrative assistants, provide guidance and training, and foster a collaborative work environment.
  • Meeting Space Management: Oversee meeting space accessibility, coordinate technical assistance, and ensure a positive user experience with optimized usage reporting.
  • Facility and Office Management: Manage day-to-day facility operations, budget for maintenance and repairs, and oversee vendor services to ensure optimal functionality and safety.
  • Event Management: Plan and execute events, coordinating logistics such as venue selection and audiovisual setup, ensuring alignment with organizational objectives and budget.
  • Budget Management: Optimize resource allocation and manage budgets effectively for administrative and facility operations.
  • Policy Development: Develop and implement policies and procedures for facility usage and maintenance, ensuring consistency, efficiency, and compliance.
