Agency TEMP Middle Marker Sales Administrator

This position Facilitates the activities performed in sales office by providing the sales staff with the necessary administrative support to develop leads, to follow up and to complete sales.  This position is also responsible for the administration of files (hard/soft copies), census data, and sales proposals. Directly impacts the sales process and has occasional contact with customers in an information-gathering mode. 

Responsibilities

    • Provides administrative support to sales staff including calendars, appointments, and travel arrangements.
    • Verifies all files both hard copies (forms, marketing materials, etc.) and soft copies (computer generated shared documents, data, sales proposal updates, file upgrades, etc.) are current, complete and accessible.
    • Generates timely correspondence and independently responds to letters and general correspondence when appropriate.
    • Handles a variety of sensitive situations, handles a large volume of confidential material with appropriate discretion, and initiates problem resolution on own initiative, advising manager of action taken.   
    • Acts as the volunteer council member for the district office, focusing on community involvement to promote volunteerism and philanthropy among Insperity employees as well as worksite employees.  Oversees local corporate donations, collaborates with corporate communications and public relations firms to promote volunteerism in the community, maintains district activity on the Insperity Community Involvement website, and attends volunteer training once a year. 
    • Provides computer training for sales personnel as well as basic technical support and problem resolution as directed by corporate sales management. Works closely with corporate office to identify and resolve computer related issues.
    • Processes decline letters, requisitions and acts as back up for producing sales proposals and census updates. 
    • Prepares or assists in the preparation of sales proposals.
    • Conducts, as needed, final review of all completed sales packages prior to submittal to corporate.
    • Collaborates with Sales Operations in the development, testing and implementation of new processes, programs and projects.
    • Receives all incoming calls, visitors and clients, acts as sales office receptionist and schedules conference room usage.
    • Performs special assignments for sales management including development of new reports and lead/appointment management.
    • Maintains a professional office environment at all times.

Qualifications

    • High School Diploma or equivalent is required.
    • Three to five years of progressively responsible administrative experience (preferably sales office experience) is required.

Skills

    • Demonstrated strong communication, computer, and office management skills.   
    • Knowledge of principles, practices and procedures of a general sales office, telephone etiquette, office equipment, and filing systems used in compiling and maintaining records and preparing reports.
    • Ability to perform highly confidential and responsible administrative duties with speed and accuracy. 
    • Communicates tactfully and effectively, verbally and in writing to a wide variety of people.  Maintains effective work relations with those encountered in the course of employment.  
    • Proficient in Microsoft applications including Word, Excel, Docu-Sign, OneForce and PowerPoint required.  Knowledge of database and report writing applications preferred.
    • Strong problem-solving skills, ability to analyze situations accurately and take effective action, work independently in absence of direct supervision, and ability to work under narrow time constraints with a variety of personal.
    • Strong teamwork and interpersonal skills at all management levels. 
    • Some training or facilitator experience preferred.
