Agency Temporary Team Coordinator 

We are seeking a Temporary Team Coordinator to join our Kingwood, TX office.


SUMMARY

Responsible for creating a “Wow” experience when interacting with external and internal customers by consistently exceeding expectations. Under general supervision, this position is responsible for providing administrative support to the service team, in the delivery of customized Insperity product and service solutions that positively impact our clients’ businesses and result in retention and growth.  This position provides daily support to the HR Service Team as needed and others as directed.  Demonstrates initiative, willingness, and ability to back up all service team disciplines for basic client inquiries or issues.  Supports special projects, while maintaining high quality standards, and meets team and client timelines.  This position performs moderate decision-making governed by procedure, guided by policy and focused on daily operations.


RESPONSIBILITIES

Under general supervision and moderate decision-making: 


    Assists in the preparation of key client HR deliverables, such as Employee Handbooks, written policies, salary surveys, time-off policies, job descriptions, separation packages, reductions in force, performance appraisals, compensation planning, etc.

    Collaborates with internal Departments on HR process deliverables as well as the development and generation of internal and customized client reports.

    Conducts Internet based research on behalf of HR Service Team Members, as needed, including but not limited to, job descriptions, salary surveys, policies and procedures, etc.

    Maintains necessary tracking mechanisms and makes recommendations for improving performance standards and measurements.  Tracks client documentation needs and conducts client follow up when necessary.

    Coordinates, as assigned, the scheduling and preparation for training classes, to include ensuring appropriate materials are ordered and delivered in a timely manner.

    Assists, as assigned, Service Operations personnel with training materials management, internal data base tracking, document routing, employee communications and assessment links, etc. Conducts follow up with registered training attendees.

    Assists with the preparation, scheduling, organization and facilitation for client, prospect and/or internal service team meetings, presentations and trainings.

    Acts as service team document manager, including capturing service activities in planning meetings, revising documents as needed or requested and ensuring documents are filed and maintained appropriately.

    Captures, enters and reviews account management data in customer relationship management systems, monitors progress of deliverables, due dates and active projects and communicates status information to pertinent personnel.

    Provides feedback to service team members regarding all client interactions.

    Achieves assigned performance standards and objectives.

    Shares accountability for the customer relationship.

    Manages each service interaction in a positive, professional manner.

    Builds, maintains, and promotes effective, highly functional relationships with all internal customers.

    Exhibits good stewardship of monetary expenses.

    Participates in front desk receptionist relief, as assigned.

    Provides backup support to other personnel, as needed.

    Coordinates communication by distributing incoming mail and faxes and preparing and sending outgoing mail utilizing appropriate delivery means.

    Maintains mailing, office and equipment supplies in an orderly fashion, generating requisition to replenish as requested.

    Coordinates, schedules and maintains travel arrangements on behalf of others, as requested.

    Assists team members with monthly expense reporting, as requested.

    Assists in the accomplishment of Insperity Company goals.

    Helps other employees to accomplish Insperity Company goals.

    Performs other duties as may be assigned by department supervisor.

    Participates in the Disaster Recovery plan as required.


QUALIFICATIONS

    High School Diploma or equivalent is required.  Bachelor’s Degree in related field is preferred.

    Two to three years of experience in an administrative function with an emphasis on project management and multi-tasking requirements.  Exposure to, or experience in, a Human Resources Support role a plus.

    Advanced level proficiency in Microsoft Office programs with ability to learn other application or software programs as needed.  Knowledge of SharePoint is preferred. 

    Working knowledge of database programs, data manipulation and customized report development.

    Possesses strong customer service skills and is able to work independently as well as in a team environment.

    Effective written and verbal communication skills.

    Ability to handle multiple project and activities in an efficient and timely manner.

    Problem solving skills.

    Knowledge of principles, practices and procedures of general business.
