Corporate Events Manager

This position is responsible for leading the execution and effectiveness of corporate events. Maintains a strategic focus on cost containment, return on investment, while maintaining a positive attendee experience and driving customer satisfaction. Manages internal event programs from start to finish with limited errors and risks to the brand and the financial investment. Provides independent, overall onsite event program operations, customer service, and vendor management.

Responsibilities:

  • Ensures successful attainment of event program goals as aligned with Company strategic goals and objectives.
  • Clearly defines event management roles and responsibilities for contracted team members and vendors. Provides direction, resources, and support to ensure successful execution of assigned tasks. Maintains regular communication to monitor progress on project plans and deliverables.
  • Collaborates with cross organizational teams to drive process enhancements that contribute to the success of the events and produces the return on investment, or the budget responsibility required. Proactively ensures key relationships are being addressed and strengthened by also measuring the internal satisfaction of the event team support.
  • Serves as an internal subject matter expert related to event program management.
  • Plans and oversees the execution of all major event components (hotel, ground/air transportation, registration, production, audio/visual and promotional products).
  • Oversees both the in-person and virtual attendee experience of Company events.
  • Investigates and recommends new technologies to help streamline and/or increase efficiencies of event team planning.
  • Directs accountability for the development, tracking, and forecasting of budgets for sponsorships and events. Produces post-event financial reports and provides recommendations to improve cost-efficiency and future budget planning. 
  • Monitors and analyzes key performance indicators across the event portfolio. Generates reports and provides actionable recommendations to enhance event effectiveness, improve attendee engagement, and reduce unnecessary expenditures. 
  • Reviews and approves event program invoices for accuracy and closes out financials for assigned events.
  • Evaluates risk for overall event program and implements emergency response and disaster recovery plans onsite.
  • Takes personal responsibility for execution of any cash per diems and gratuities delivered onsite.
  • Handles contract negotiations with suppliers and works with Legal to recommend solutions when issues arise.
  • Designs event program communication plans, for internal and external audiences, for corporate and client facing events. Forecasts workforce requirements for event and establishes workforce policies and procedures for assigned onsite staff.
  • Develops pre-event training (as needed) and resolves onsite staffing related issues. Responsible for keeping onsite staff energized and motivated over multi-day events.
  • Manages key stakeholders/clients onsite and manages stakeholder activities with limited supervision.
  • Recommends site specifications when necessary and assists with identifying and inspecting necessary venues.
  • Identifies marketing and initial content needs for event program. In conjunction with the marketing team, designs parameters for marketing the event and selects appropriate distribution channels.
  • Makes effective pre and post event presentations to key business stakeholders and executives with recommendations for future events.
  • Fosters a growth mindset and inspires innovation in event related activities.
  • Works onsite events and where needed to ensure successful execution and results.
  • Upholds Insperity’s cultural goals and demonstrates the values and mission of Insperity throughout the department and the Company.
  • Ensures applicable team member(s) are apprised of ongoing and future event program plans and projects.

Qualifications:

  • Bachelor’s Degree in Marketing, Business, Hospitality, a related field, or four years of related work experience is required.
  • Five to seven years of experience in events, sponsorships, hospitality, tradeshows, or a related industry is required.
  • Certified Meeting Professional (CMP), Certificate in Meetings Management (CMM), Certified Trade Show Manager Certification, or similar certification, is preferred.
  • Expert knowledge of the meeting and events industry.
  • Demonstrated leadership abilities.
  • Expert knowledge of meeting and event software and technology.
  • Knowledge of hybrid and or/digital events is preferred.
  • Corporate event, tradeshow, meeting, or sponsorship planning and execution background is required.
  • Strong computer skills with emphasis on Microsoft® Office Suite.
  • Excellent communication skills, both oral and written, and ability to communicate effectively with all levels of the organization, maintain confidentiality and maintain effective work relations with those encountered in the course of employment.
  • Ability to create and deliver formal presentations to diverse audiences.
  • Strong time management and organization skills.
  • Demonstrated problem-solving skills.
  • Excellent customer service orientation.
  • Ability to work well with a team as well as independently.
