Development & Office Associate

As the Development & Office Associate, you will assist with various development functions, fundraising events, and office coverage. As New Ground expands our services and housing in the coming years to serve even more struggling Long Islanders, there is also ample opportunity for your growth and development.

New Ground is also an approved qualifying employer under the Public Service Loan Forgiveness Program (PSLF). Employees in this position may qualify for student loan forgiveness under the PSLF program. 


As the Development & Office Associate, your fundraising tasks will include managing the donor database,  processing donor acknowledgments, reporting fundraising financials, working with 3rd party vendor fundraising tools, and building awareness of the organization through communications, including social media, email marketing, and newsletters.


To succeed, you should have:

  • A minimum of 2 – 3 years experience in a professional office setting preferred 
  • Associate Degree required, a Bachelor Degree is a plus 
  • Experience with CRM systems preferred. Experience with Donor Perfect or other donor management systems is a plus
  • Experience with professional use of social media platforms (FaceBook, Instagram, and LinkedIn) preferred
  • Bilingual Spanish/English a plus
  • Driver’s License and regular access to a vehicle is required


Your day-to-day responsibilities as the Development & Office Associate will include:


CRM Management

  • Maintain and ensure the accuracy of donor records in Donor Perfect.
  • Enter and manage all gift records, handle duplicate entries, and import online transactions.
  • Oversee matching gifts, workplace giving, and donation documentation.


Donor Acknowledgment and Reporting

  • Coordinate donor acknowledgments, including thank you letters and record-keeping.
  • Develop fundraising summaries and import contacts data.
  • Complete monthly financial reconciliation of donations in database and external sites.


Communications and Campaigns

  • Manage social media content calendar and publish quality content.
  • Implement email marketing and create digital fundraising pages and forms.
  • Develop content for newsletters and create digital event promotions.


Event Support

  • Support fundraising events, including pre-event, on-site, and post-event activities.
  • Manage event invitation lists and solicit in-kind donations for auctions.
  • Collaborate with committees and assist with event financial tracking.


Office Administration

  • Answer main office phones, greet clients, and provide general office support.
  • Coordinate volunteers, receive and process in-kind donations, and ensure food pantry organization.
  • Maintain office supplies and report any issues to the Operations Specialist.


Volunteer Coordination

  • Cultivate and coordinate volunteers for various activities and supply drives.
  • Assist with special projects and ensure smooth operation of on-site events.
