Senior Safety Coordinator

This position is responsible for handling a high volume of client calls, edits, and finalizing and distributing safety reports and related correspondence using the department’s risk management information system (RMIS).  Maintains RMIS, provides assistance to clients related to reporting/information requests and OSHA recordkeeping. Moderate decision-making is required, governed by procedure and policy, with a focus on daily operations and customer service.

Responsibilities:

  • Handles a high volume of client calls. Communicates activities of Safety Services to the company, clients, and other outside personnel, as well as applicable service teams. Maintains contact with and advises assigned Safety Services personnel about daily activities and priorities. Coordinates and communicates requests for inspection of prospective clients.
  • Maintains Safety Services activities in client relationship management systems.
  • Ships, tracks, and maintains (calibration) safety equipment for the department.
  • Proofreads and edits monthly webinar presentations and gathers needed information prior to webinar practice sessions. Processes webinar reports (rosters to Service Operations, resources to clients, creates entries in Company’s customer relationship management, and files related documentation).
  • Updates client assignments quarterly in AIMS to provide summary to managers (by safety consultant and state).
  • Updates RMIS weekly with missing safety consultant assignments and new client task notifications by reviewing market segment and related clients.
  • Provides general Safety Service information, including loss information, incident rates, and safety videos, as requested.
  • Completes projects as assigned by the department supervisor that may include, but not be limited to, safety newsletter, online outreach course registrations, and tracking, monthly webinar follow up activities, training rosters, minor employee reviews, and other assignments.
  • Expedites required actions for client calls, requests for safety resources, reports, and correspondence for assigned Safety Service personnel.  Communicates the activities of services to clients and other outside personnel.
  • Generates, analyzes and distributes workers’ compensation, employee, and loss data from RMIS to support client compliance, contractor requirements, and regulatory reporting (Department of Labor).
  • Formats, edits, finalizes, and distributes reports and related correspondence to internal and external end users. Handles heavy word processing assignments, works with spreadsheets and other software applications including proprietary software applications. Performs organizational filing including maintaining department electronic databases, and other related office duties.
  • Provides safety information and programs to clients as requested. Customizes safety program templates into a format to present to client, as needed.
  • Maintains Safety Services activities, including visits, surveys, training and other department related reports and correspondence.
  • Assists with special projects and training programs for Safety Services, as required.
  • Processes requests for assistance with OSHA log/recordkeeping information and provides appropriate documentation to assist clients with completion of reports/forms.
  • Calculates incident rates and completes contractor questionnaire forms for clients, as requested.
  • Assists in training new Safety Coordinators as needed.

Qualifications:

  • High School Diploma is required. Bachelor’s Degree is preferred.
  • Three to five years of customer service or administrative experience is required.
