Agency Temp Corporate HR Operations Coordinator (Part-Time)


We are currently seeking a Agency Temp Corporate HR Operations Coordinator to join our team. This position is responsible for onboarding all new corporate employees and new hire systems entry.  This position is also responsible for overseeing the maintenance and retention of the corporate employee paper and digital files.


Responsibilities:

  • Administers the new hire onboarding process in an efficient manner, including new employee confirmation letters, paperless onboarding enrollment, employee provisioning, and AIMS data entry.
  • Coordinates with the recruiting group to ensure new employee information is correct on the Hiring Data Sheet and in accordance with approved salary ranges and titles and resolves issues as they arise.  
  • Verifies I-9 documentation for completeness and accuracy prior to filing and resolves issues with relevant supervisor if needed.   Re-verifies expiring I-9’s for all corporate employees.
  • Handles SOX audits for corporate new hires.
  • Acts as administrator for PerformSmart & TimeStar software. Activates new hires in PerformSmart and any TimeStar updates as needed and provides PerformSmart hotline support.  
  • Sends out job descriptions for new hires via DocuSign and ensures JD’s are signed, returned and maintained in alignment with procedures.   Ensures the relevant FLSA forms for exempt positions within the Company are sent, signed, returned and maintained. 
  • Ensures all current and terminated corporate employee personnel files are accurate and complete with updated forms and paperwork as required.  Uploads all required employee paperwork to SharePoint Conducts personnel file audits for accuracy and consistency as needed.
  • Acts as a backup for employee changes into appropriate systems, e.g. address, name changes, manual federal/state tax forms.   
  • Acts as a backup for requests for employment and salary verifications for current and former employees according to guidelines and ensures proper documentation and record keeping.
  • Acts as backup for auditing all new hire data input and salary changes on a bi-weekly basis.  
  • Acts as backup to running the daily history data append.
  • Acts as backup to the salary administration process as needed.  
  • Acts as Records Coordinator for Corporate Human Resources and requests information from Records as needed.  Coordinates requested information regarding subpoena requests from Legal and Unemployment group’s requests for information.
  • Identifies procedural obstacles and recommends innovative solutions within existing processes.  Updates procedures as needed.
  • Acts as a backup to others on team and Corporate HR Executive Assistant as needed.



Qualifications:

  • High School Diploma or equivalent is required.
  • One to two years of related experience is preferred.  
  • High attention to detail and accuracy.  
  • Excellent customer service skills, including communicating tactfully and effectively.
  • Ability to interact with the public and company personnel tactfully and courteously; answering questions and giving information in person and over the telephone.
  • Maintains effective work relations with those encountered in the course of employment.
