HR ADMINISTRATIVE COMPLIANCE COORDINATOR

 

 

RESPONSIBILITIES

 

This position is responsible for processing new and updated orders for labor law posters for Insperity and client locations, maintaining accurate information related to client locations and status, working with third party vendor on poster distribution, and handling all administrative responsibilities associated with these duties. Also responsible for responding to employment and salary verification requests for current and former worksite employees. 

 

  • Responds to employment and salary verifications requests for past and current worksite employees and evaluates request as to authenticity and accuracy.
  • Responsible for administrative responsibilities for these verifications by faxing, copying, and logging information.
  • Communicates with governmental agencies, mortgage companies, credit companies, and potential employers to complete employment verification requests within established company guidelines.
  • Maintains and updates procedure for position on a quarterly basis and acts a backup for team members.
  • Processes and ensures timely new and update orders for labor law posters for all clients and Insperity corporate locations.
  • Processes invoices for new and update orders each month (editing and ensuring accuracy).
  • Works closely with vendor on returns and updates to posters ensuring timely response.  When posters are updated, works with vendor to make sure they have accurate location information.   
  • Keeps track of changes to client and Insperity corporate locations.
  • Researches and maintains updates on law changes applicable to poster compliance and maintains labor law library for this service.   
  • Responds to inquiries and answers questions regarding basic labor law posters as needed.
  • Runs weekly new client location report.
  • Ensures that address information is correct prior to sending to vendor and ensures client is still active and has current worksite employees.
  • Prepares and maintains spreadsheets to track terms, returns, changes, reinstatements for new clients and updated client locations.
  • Prepares state change letters that are sent to clients with each update compliance poster order.
  • Provides support for worksite employment verifications and department coordinator as needed. 
  • Administers services operations Contract Management System.
  • Assists unemployment team with administrative duties when needed to assist with benefit audits, d-terms, and keying in chargebacks and processing Texas layoffs.
  • Assists the Drug Testing Specialists in scheduling drug tests when needed.
  • Provides backup administrative support to department Director and assists with additional projects as needed.

 

 

OTHER RESPONSIBILITIES

 

  • Assists in the accomplishment of Insperity Company goals.
  • Helps other employees to accomplish Insperity Company goals.
  • Performs other duties as may be assigned by department supervisor.
  • Participates in the Disaster Recovery plan as required.

 

 

EDUCATION / EXPERIENCE REQUIREMENTS

 

  • High School Diploma or equivalent is required.
  • Two years of experience in an office environment is required.

 

 

KNOWLEDGE / SKILLS

 

  • Communicates professionally and effectively (both verbal and written).  
  • Knowledge of practices and procedures of personnel administration, office methods, and equipment.  
  • Must possess ability to deal with problems involving several concrete variables in standardized situations.   
  • Must possess computer skills associated with word processing, Microsoft Access database, spreadsheets, order processing.
